Default Unit29 cyp 3.6 storing, recording, sharing & security of information

i need to cover a/c 3.1 and 3.2 with witness statements or refelective accounts and i am stumped,im probably reading into it way too much, but please can anybody help me xx

Hi, maybe you contribute ideas, suggestions, feedback about processes, procedures for recording, storing, and sharing information. Are duties and responsibilities for recording, storing, accessing, maintaining and sharing information included in your employment contract or a list of role expectations.

What paperbased records exist - log books, register, permission slips ..
Where are they sourced/purchased from.
Do they do what your setting wants them to - are there spaces to write what you want/need to write.
Do you adapt them in any way
How is this suggested, agreed, arranged

Where is information stored in your setting
Are you worried or concerned about confidentiality - data protection act 1998
How could you report that concern
How seriously is the security of confidential information taken.
Can you access records easily?
How do you know who has permission to access records?
How do you gain permission to access records?

Where do you share information
When do you share information
Is this suitable?
Would you prefer another place - more privacy, or way to share information.

3.2. How securely is the information stored?
-- paper based & electronic ie. files, images, emails online, memory sticks, written to discs ..
How are passwords handled in your setting
Who has keys
What devices are photographs/video taken on, what happens to these images and where are they kept if felt necessary.
Are backups of records kept, where are they stored, how are they updated, are they secure.

3.3 Conflict and confidentiality
Pg. 281 collins handbook
Private information is often disclosed in work settings. Families need to be sure that practitioners can be trusted to respect confidentiality.

However there will be some situations when the procedures are not always straightforward for practitioners and there can be some conflict between maintaining confidentiality and the need to disclose information. For exmple, if there is ever any concern about the welfare of a child or young person. particularly relating to an abusive situation or a safeguarding issue.
