Hi again all, I know I have already posted this evening but I am stuck on another question on the same assignment

Describe how you contribute to the development or implementation of processes and procedures for recording, storing and sharing information and how to maintain secure recording and storage systems for information:
- paper based
- electronic.

Would really appreciate any help as usual!

Hi,

Depending on the setting you're in how do you record and store information? Do you contribute to observations, learning journals, diaries, registrations etc. Do you make personal observations and then leave them for anyone to read or are the stored away in a locked cupboard/room? What do you do in regards to policies and procedures and ensuring you are abiding to the data protection act and also who do you share the information with and how? Perhaps there are personal details stored on the database, is it accessible to anyone or password protected.
I ask these questions as I know depending if you are a volunteer or worker there are different levels of responsibility and you may not have access to some of these things.

Hi, thanks for your reply! It has helped me quite a bit, so far I've written a little about where all records are stored and stuff, just getting stuck on what to write for electronic based records?? I know our policies and procedures are kept on our office computer, but what other electronic based records would be kept here?? I've also written that our photos are kept on our settings cameras that are not allowed to be taken out unless we are going on an outing, they are locked away in a filing cabinet when not in use and otherwise left in the room where only staff know where it is...I just feel like I'm repeating myself as I've only written about filing cabinets...

By the way I work in a nursery setting :)

Hi,

You also mentioned about a locked filing cabinet, you can also mention how you get the key to the lock? Is there a sheet to sign for it? Ask for permission to access it?

Usually records on the computers will be personal details, D.O.B's, address, contact details etc. Anything that is protected by the data protection act. As it's asking how you contribute you need to say if you have access or not and how it is maintained to stay secure. Is it password protected? Only senior members have access? Can anyone get to this information.

When I first did the course, I was in a voluntary placement. As I couldn't say what I did as I had very limited access to electronic data, I did a Q+A with as senior member.
