Default assessments

I have recently been promoted at work and have been given alot of key children to assess ,currently all assessments are recorded in a huge file and it takes time to find the child i want then flick through all the pages etc and then set targets, just wondering whether anyone could give me ideas into what they do have u got a set form for recording targets that is easy to access and can be updated easily,as im sure there has to be a easier and faster way. (we have not yet started the eyfs in the setting) any suggestions welcome.
