Hi, you need to ask your seting or your work placement for the policies and procedures that cover data protection, information handling & sharing. It might have one specific policy that states information such as children's personal files, enrolement forms, contact details are kept securely in a locked filing cabinet.
How information is handled will be different in each setting, you'll need to find out what information stays on the premises, leaves the premises and what permissions are in place for that to happen eg. where information is shared by being emailed or is held digitally on portable units eg. memory sticks or printed out as hardcopies.
For information sharing, see who has access to it and why eg. named individuals have access to files to update them, show parents, work with other appropriate & agreed professionals.
