I am not sure if this helps as i am in a school setting and it may differ slightly to other settings. I had a few problems with this as well but my assessor is happy with what i have done.
Do you fill in any learning journals or make any observations? In my setting we always carry post it notes and write down some observations on the child and their development. These are then discussed with the class teachers (and also the SENCO) on a regular basis and then placed into their learning journal which is shared with only their parents/carers but put in a secure cabinet which cannot be accessed by anyone without the authority to do so.

We also have focus tasks with the children and do assessments, these go in the seperate folders for the children for the teacher to record these on the schools database. (only the senior members of staff can access the database but i have wrote a refelctive account on if i did have access this is what would happen after i discussed this with my teacher.)

Or if you are in a nursery setting do you do intial assesments on new children entering your setting? Or make daily journals on a baby/toddler about feeding, nappy changing, sleeping etc.
Anything perhaps you make notes on, forms filled in and how you then pass this information on to colleagues or parents can be used.

Hope this helps

You could also mention how photography is used your setting, how photographs or video is recorded, on what devices and where any images are then saved/ deleted, stored/transported/ shared xx

If maybe, you have a role in sharing, or passing on medical information - from parent to relevant colleague or from the setting to parent/carer.

If you're involved in any way with how injuries & accidents are recorded, saved, shared.

Who you direct parents/carers to if they have contact information they'd like to update.

xx

What about when you use a computer, is it password protected? are there any images/photo's/details of the children within your care? how do you protect your computer from others? is it locked away when the setting is closed? etc
Hope it gives you a few more ideas

Lynne
