When you cannot complete any commitments within timescale you immediately inform appropriate team members.

Perhaps an example may help you:-
This time of year, there maybe many children leaving for school and profiles to finish with observations, 'loose' bits to be done, reports to prepare - imagine if you felt you were overwhelmed and couldn't cope with the workload, it's better to tell your manager now rather than just before you are about to hold a parent's afternoon or evening.
Informing the manager allows her/him to take immediate action ensuring that the profiles are kept up-to-date. and everything is in order. They would then deal with how you were going to cope with your workload in the future if the problem was still relevant.
It's all about keeping your manager and setting informed of everything that involves work and needs to be shared, so the appropriate actions are taken
