How do you organise your Fair stalls, stall holders & their product ranges to ensure each area isn't over subscribed ?

Do you let stall holders know in advance how many other similarly placed sellers will be attending and what lists do you hold for shops/wah's that like to be informed of forthcoming / past fundraising events ?
